Solution: The Piedmont Hospital in Atlanta, Georgia, is a 600-bed facility that provides a variety of healthcare services, including cancer services, emergency services, diabetes services, and spiritual care. Piedmont’s business office is located approximately 12 miles away from the hospital. The office plays a vital role in the facility’s operations by handling important documents, including correspondence, remittances, and payment postings.

Before implementing the Visioneer solution, Piedmont hospital staff would make copies of patients’ insurance and identification documents at registration. Photocopies of these documents were kept in the patient’s medical file at the hospital, and the information was eventually entered into the hospital’s database. Then, the business office would file insurance claims based on the information in the database. Unfortunately, claims were being rejected because information was being entered into the database incorrectly. In these cases, staff had to contact patients to verify database information and try to pinpoint errors. Piedmont had to find a way to streamline the insurance claim verification process and improve the accuracy of information in their database.

The solution for Piedmont was to begin using Strobe XP 200 scanners from Visioneer. This equipment is currently used to scan important documents during registration.

Adding scanning to the front-end registration process has benefited Piedmont in several ways. Since scanned images are indexed into the hospital’s database, office staff can easily view documents to verify claim information instead of contacting patients.
